A WSIB claim does not happen in a day. It unfolds over weeks and months, involving your employer, your doctor, your adjudicator, possibly a physiotherapist, possibly a return-to-work coordinator, and a steady stream of forms and conversations.
Without a system, the details blur. Conversations are forgotten. Forms get lost. And when a decision is made about your claim, you are left reconstructing a timeline from memory.
A simple, consistent record changes all of that.
Every time you speak with someone about your claim, write it down. The date, the time, who you spoke with, their role, and a brief summary of what was said and what was agreed or decided. This applies to calls with WSIB, conversations with your employer, and discussions with your doctor or physiotherapist about your work status.
Adjusters and employers keep records of their calls with you. You should keep records of yours.
For each appointment, note the date, the provider, what was discussed, any new treatments or referrals, and any changes to your work status or functional abilities. If your doctor changes their assessment of what you can do, write that down and when it happened.
These notes help you follow through on recommendations, and they create a clear timeline if your condition is ever questioned.
Before you send anything to WSIB or your employer, make a copy for yourself. Your Form 6, the Functional Abilities Forms, any correspondence. If you submitted something and there is a dispute about what you said, your copy is your evidence.
Keep receipts for transportation to medical appointments, prescriptions, assistive devices, and any other out-of-pocket costs related to your injury. Many of these are reimbursable through WSIB. You cannot claim what you cannot document.
Record your symptoms regularly. Not just the dramatic days, but the ordinary ones too. What you could and could not do. How your pain levels fluctuated. What tasks you had to give up or ask for help with.
This record matters most during return-to-work planning. Modified duties that look reasonable on paper may not fit what your body can actually do. Your daily record is the most specific evidence you have of your real functional limits.
The most effective organizational system is the simplest one. Not a binder with fifteen dividers. One place where everything goes, consistently.
